Refund Service

The Admission Officer is responsible for processing student refunds in accordance with CTK Healthcare’s approved refund policy, which is in compliance with TWC regulations. Students who withdraw from their program within 72 hours after the class begins are entitled to a full refund of tuition and fees. If a student withdraws after the third day of class, a $100 administrative fee is deducted from the refundable amount. All other applicable fees are refunded according to the guidelines provided by DADs. CTK issues refunds automatically, without requiring a formal request, and ensures the process is completed within forty-five days of cancellation.

Upon arrival, the Admissions Officer provides a student handbook and a program information sheet detailing course structure, prerequisites, tuition, schedule, instructor info, and financial options. A guided campus tour-led by the Admissions Office and the Student Service Coordinator (SSC)familiarizes students with classrooms, labs, student areas, safety features, and support services. During this process, key policies, placement data, and program expectations are introduced. Once ready, students complete their enrollment and receive class schedules and payment plans. Instructors also conduct a classroom orientation on the first day, reviewing the syllabus, safety procedures, and class expectations. This structured approach ensures students are confident and prepared for their educational journey at CTK.

CTK Healthcare is committed to supporting students by offering promotional discounts on tuition, announced via email, flyers, brochures, and the school website. To make education more accessible, the Finance and Admissions Offices provide flexible payment plans. Students can pay using credit cards, checks, or cash, with no added charges for late payments or interest. CTK also helps eligible students access private education loans through partner lenders. However, the institution does not offer any form of government-funded financial aid. This approach ensures students have manageable financial options while pursuing their healthcare education.

At CTK Healthcare, students receive weekly feedback on their academic progress through scores and quiz reports, allowing them to discuss their performance directly with instructors. This regular communication helps ensure satisfactory progress throughout the program. Upon successful completion, students are awarded a Certificate of Completion issued by the Registrar’s office. Additionally, students can request official transcripts by submitting a written request via fax or email to the Registrar. CTK is committed to maintaining accurate and accessible student records, supporting students in tracking their achievements and meeting any future educational or employment requirements.

Student safety is a top priority at CTK Healthcare. The campus is fully equipped with first aid kits, fire extinguishers, and clearly marked emergency exit plans located in key areas such as student lounges and computer stations. To support students in urgent situations, an emergency contact person is designated to provide immediate assistance. The Admission Officer is responsible for informing students about all safety equipment and introducing the emergency contact person. In the event of natural disasters or emergencies, all staff, instructors, and students must promptly follow the established safety procedures to ensure everyone’s well-being on campus.

Placement Assistance Service

The Placement Coordinator at CTK Healthcare, along with instructors and the Student Service Coordinator (SSC), assists graduates in their job search by organizing meetings with potential employers on campus and providing valuable job search resources. Students preparing to graduate receive contact information and access to job postings displayed on the campus notice board. While CTK offers comprehensive support and guidance throughout the job search process, it does not guarantee job placement. The focus is to equip students with the necessary tools and connections to successfully enter the healthcare job market.

Toward the end of each course, instructors at CTK Healthcare provide students with essential job search and interview tips to help them prepare for employment. The Academic Director further supports graduates by assisting with resume writing and offering detailed interview preparation guidance. Additionally, the Academic Director outlines the job prospects available for Nurse Aide and Pharmacy Technician graduates, highlighting the types of healthcare facilities and major employers within the Dallas-Fort Worth area and nearby regions. This personalized support ensures students understand the local job market and are equipped with the knowledge and tools to pursue relevant opportunities.

The Student Service Coordinator (SSC) at CTK Healthcare provides students with access to reference books, lab equipment, and essential technological tools such as DVDs, projectors, manikins, and training manuals for using advanced healthcare machines. A variety of educational materials, including journal articles and healthcare-related books, are organized and stored securely for student use. Students interested in borrowing these resources can request them directly through the SSC, ensuring they have the support needed to enhance their learning and academic success.

At CTK Healthcare, when an instructor identifies a student who may benefit from counseling, the concern is promptly communicated to the Student Service Coordinator (SSC). The SSC then arranges a meeting between the student and the Chief Academic Officer (CAO), who offers direct guidance to support the student’s academic and career development. In urgent situations, the Academic Director or a designee steps in to provide immediate support. To further assist students in selecting the most suitable program, the Admission Officer facilitates one-on-one meetings with the Academic Director, who provides an in-depth overview of program options, including their benefits and future opportunities.

Procedure for handling Complaints & grievances for Faculty & Staff

CTK is committed to fostering a respectful and inclusive work environment that upholds the dignity of every individual. In alignment with this core value, CTK strictly prohibits any form of harassment based on race, color, religion, sex, national origin, age, disability, sexual orientation, marital status, or any other characteristic protected by law. Any behavior verbal, physical, or written that discriminates or offends based on these traits will not be tolerated. All complaints, including those related to harassment, will be promptly, confidentially, and thoroughly investigated. Step-by-Step Procedure for Handling Staff Complaints

  • The CAO meets with the complainant to thoroughly understand the nature and details of the complaint.

  • The CAO may ask the complainant what resolution or outcome they are seeking.

  • The CAO informs the Director about the complaint and shares the findings.

  • The Director informs the staff member(s) involved in the complaint.

  • The Director attempts to bring both/all concerned staff members together to discuss and resolve the issue in a professional and respectful manner.
